Billing, Time Tracking & Invoicing

 

 

I believe in straightforward, transparent billing with no surprises. My goal is to ensure you always understand what work is being done, how time is tracked, and how invoices are calculated.

Initial Deposit (Retainer)

Client engagements begin with a prepaid retainer. The retainer amount is determined based on project scope and is applied to billable time as work is performed. Retainers are non-refundable.

Monthly Retainer Option
Monthly retainer clients receive up to 25 hours of dedicated project time per month at a 5% discount off the standard hourly rate. The monthly retainer is due on the 1st of each month before work begins. Hours included in the retainer do not roll over and are non-refundable. Hours worked beyond the monthly retainer are billed at the standard hourly rate.

Hourly Billing

The standard hourly rate is $69. Hourly and overage invoices are issued twice per month — on the 1st and the 15th — with Net 15 payment terms.

What Counts as Billable Time

Any time spent working directly on your project is billable. This includes, but is not limited to:

  • Client meetings and calls
  • Requested research or analysis
  • Troubleshooting requests, feature information requests
  • System setup, configuration, and implementation
  • Documentation, testing, and follow-up work

If I am actively working on your project, that time is tracked and billed.

Time Tracking & Billing Accuracy

All client work is tracked using MemTime, which serves as the single source of truth for time tracking and billing.

MemTime runs securely in the background and records time based on actual work activity related to your project, including the tools and applications used. Invoices reflect only time that was actually worked and directly attributable to your project.

For simplicity and consistency, time is rounded to the nearest 5-minute increment.

Additional time-tracking detail is available upon request.

Work Summaries & Billing Detail

Each time I work on your project, I send a brief email recap summarizing what was completed and what’s coming next. These recaps serve as the context and detail behind the time billed and are the primary reference for how billed time was applied.

Invoices align directly with these work summaries.

Transparency & Visibility

To support transparency, invoices show the time applied during each billing period. The remaining retainer balance is reflected on applicable invoices and may also be shared periodically for visibility.

Payment & Work Continuity

Invoices are due according to the stated payment terms. Monthly retainer clients whose payment is not received by the 1st of the month will have work paused until payment is received. For hourly engagements, work pauses automatically if payment is not received on time and resumes once the account is brought current. This policy ensures focus remains on active client work and allows me to maintain consistent availability across projects.
