You’re Probably Not Using these (But Should Be)
Every now and then, a seemingly tiny tool ends up making a huge impact. That’s exactly what happened during a recent call with one of my clients who manages high-touch customer communication during their busy season. They’re in the event rental space, setting up gorgeous tents for weddings, parties, and corporate events—which means lots of back-and-forth emails with customers confirming locations, permits, site photos, and logistics.
As we were chatting about ways to save time without sacrificing that personal touch, I introduced them to one of HubSpot’s most underrated time-savers: Snippets.
Their response? “Wait… this exists?!”
What is a Snippet?
A snippet in HubSpot is a short, reusable block of text that you can insert into emails, notes, chats, and more—without having to copy/paste or retype it every time. Just type #
followed by the snippet keyword, and voilà—your saved message appears instantly.
Think of it like your own personalized email Swiss Army knife. ⚡
Why Snippets Are a Game-Changer (Especially for Repetitive Emails)
For this particular client, the lightbulb moment came when we looked at how often they were sending versions of the same messages to customers:

“Can you send us photos of the location where you would like the tent to be set up?”

“Have you received the permit information from the city so we can set up the tent for your event?”

“We are still waiting to hear from you regarding your event details. Please let us know as soon as possible.”
Rather than typing these out over and over—or hunting through past emails to copy and paste—they could now just use a few keystrokes:#permit

And the best part? Snippets can be used in any HubSpot-connected email client—like Gmail or Outlook—as long as you have the HubSpot Sales extension installed.
Snippets vs. Email Templates: What’s the Difference?

Use a snippet when you just need a line or two that you use frequently (a question, reminder, or explanation).

Use an email template when you need a full email structure—like an outreach sequence, proposal follow-up, or onboarding email.

And yes, you can use snippets inside templates too, which makes customizing emails even faster.
Where to Find Snippets in HubSpot
Here’s how you can access them:
- Go to your HubSpot account.
- Navigate to Conversations > Snippets (or use the search bar).
- Click Create snippet to start saving your most-used lines of text.
- Assign each snippet a shortcut keyword, like
#permit
or#location
.
That’s it. Next time you’re replying to an email or leaving a note, just type #
and pick your phrase.
